More effective coordination, satisfied customers, zero paper: dematerialization leads to excellence

THE IDEA IN BRIEF

LAB68 is a company specialized in the maintenance of car wash facilities throughout the country. The company needed a tool to monitor the movements of the operators and refine the process of management of maintenance activities, checking in real time the human resources. To do so, he chose Mobyx, a smartphone application that allows, without the aid of badges and time stamps, the virtual stamping when an operator enters an entry point in any work place, be it an establishment, a building site or an area. outdoors. Integrating the application to an ERP management system (also developed by Evolvex) and to “No Paper Electronic Reporting”, the company dematerialized the stamps and the filing of the intervention reports that were previously sent on paper to the headquarters. Today, from the head office, the manager can coordinate all the interventions carried out in the territory more effectively.

THE NEED

The need was to simplify and make more efficient the management of human resources on the territory, as well as to digitize the planning and reporting procedures of the interventions carried out throughout Italy. Today the company has an operator who, from the headquarters, coordinates all the assistance points in the national territory that must physically perform the interventions, managing documentation and monitoring of the movements of human resources in the cloud.

THE SOLUTION

The company has implemented a ERP cloud management, accessible to all the service points scattered throughout the country. The next step was to replace all paper material with the application designed for the dematerialization of intervention reports. This was possible through a graphometric signature software made for tablets.In this way, today every operator compiles his / her work report on a tablet and asks the client to affix a signature that also has legal value. The report is displayed in real time at the central office. To complete the process of controlling the activities, the company also activated the service in SAAS Mobyx, the application that allows you to plan the interventions and to know in real time where the operators move and the interventions are performed. «When one of our technicians goes to the work area, for example, the management system displays an icon indicating that the intervention is running. The icon is also displayed on a videowall, on which a different symbology is used depending on the type of call. In this way the company can manage a number of interventions that are always higher than in the past “, explains Massimo Gigli, owner of the company.

CHANGE

For the company it was a huge simplification, because in the past it was necessary to manage a large amount of paper that was scanned and inserted into the management system. This simplification has allowed the company to handle a greater number of operations. The tool has allowed the customer and the company to view in real time the immediate closure and communication of the intervention report and to have a constant monitoring of maintenance operations.

In less than a year, the number of calls and customers increased by around twenty percent. And this innovation has allowed the company to expand to the vending machines and purification plants sector.
